3. Record payments to deposit in batch
Now that you have completed the two first prerequisite steps, let’s move on to the key process. This is when you start to record the payments made to your company in order to be able to deposit them in batches.
First, you need to pick out the bank account that you want to deposit the payments in batch and register the payments to that account. You can easily do this by taking a look at the Customer Invoice that you received a payment with. There, you should be able to find Register Payment. And within Register Payment, choose the right Journal, which should be the one that is currently linked to your company’s bank account. From there, the proper Payment Method that you would want to select is Batch Deposit.
Once you have selected the payment method, then you are basically halfway through the process. As for the other payments, including any checks from your customers, they can also be deposited in batch using the same method as shown above too. One thing to keep in mind is it is advisable that you should put in your payment reference within the Memo section.
4. Add payments to a Batch Deposit
Once you have reached this point, you are almost done with the process! The next step is to add payments that were made to your company into a batch deposit. In order to do so, first you need to head to Accounting and then look for Customers from there. After that, click on Batch Payments and choose Create. There, you will be able to find Bank and Payment Method. All you have to do is select Add a line.
When you have added a line to the Batch Content, you will need to choose all of the payments you want to include in this Batch Deposit. Following the instructions, you only have to click Select. An alternative method is by selecting Create in order to record any new payment and put it on the list.
To complete your Batch Deposit, what happens next is to finalize the process. To do this, you will need to select Validate. Then, you are more or less done! But you can also go a step further and download a PDF file for other purposes by choosing Print. Many banks will often ask you to include a PDF file to their paperworks. So, with the PDF file, you can put it together with the deposit slip that is often required.
5. Start Bank Reconciliation
When your database has included the bank statements, then you will have the freedom to reconcile your bank statement line using the reference from the Batch Payment. In order to start your Bank Reconciliation, to start the process, you need to head to your Accounting dashboard. From there, look for the bank account you want to use for the process and select Reconcile Items.
Next, move on to your bank statement line and select either Choose counterpart or Create Write-off to be able to view more options. Then, you will need to click on the Batch Payments section and choose your batch payment. If all goes well, any of your related payments will be added automatically by Odoo.
When you select the reconcile button, you will be able to see all of the batch payments as well as the unreconciled invoices. After that, just click on Validate to finalize the process and you are done. However, you need to keep in mind that you will not be able to find the Batch Payments section if the bank statement line already had a Partner.
If you have been following the instructions correctly, the congratulation window will pop up. You may also choose to have a look at all of your batch payments by selecting the Go to Bank Statements option.
After clicking on the batch payment link that is connected to the statement, you should be able to view all of the payments that have been added to this batch. However, when any payment, even your customers’ checks, can’t be processed by the bank and that it went missing, you should have that payment removed from your bank reconciliation before you validate the process.
For the latest updates of Odoo, you have the ability to transfer features, which will be a huge plus for business owners as it can help you to combine many financial operations and put them within a single form.
